New Features, Fixes, and Enhancements
This release includes the following enhancements:
Scheduler / Diary History Audit Report
The Sensei Cloud team is continuing to expand on Audit functionality with the brand new Scheduler History / Diary Report. Sensei Cloud now offers the ability to audit Schedule (US) / Diary (UK) activity per team member for a specified reporting period.
This new audit report helps improve overall visibility of scheduling changes, providing a clear picture in regard to which team member implemented a particular appointment change and when.
The Scheduler / Diary History Audit Report is available from the Audits menu of the Dashboard tab (Dashboard > Audits > Scheduler History / Diary History).
This feature enables you to track the details of when a team member performed specific appointment-based activity for a patient, such as scheduling an appointment, cancelling an appointment, changing the procedures that are assigned to an appointment, editing an appointment duration, and other scheduling-related changes.
Click on the User to expand the rows and view the team member's appointment-related activity for the selected time period.
Each entry includes the Date, Time, Practice Location, Patient, and Action (Add, Move, Edit, or Cancel), with specific details in the Description column. The activity is listed in descending order, with the latest actions displayed on the top of the list.
You can also perform the following actions from the Scheduler History Audit Report:
- Under Actions, click Export to export the list as filtered to a .CSV file.
- When a User is selected, you can search for a specific Patient and narrow the list to only the appointment actions that are directly related to them.
- Use the Filters to narrow the list to specific Sensei Cloud Users, date ranges, locations, or schedule/diary actions.
Note: You must click Apply Filter to activate the selected filters. Click Reset to return to the default view.

Enhanced Referral Tracking
Outbound Referral Tracking
In response to a UserVoice request, referral tracking has been optimized to allow you to track patients who have been referred out to receive care from an external provider, in addition to the existing functionality to track incoming referrals.
Under the Patient Referrals section in the Patient Record (Patient > Patient Record > Patient Referrals), the existing Referral option is now called Add Incoming Referral, and there is also a new Add Outgoing Referral option.
Incoming referrals can be added when the patient is referred into your practice, and this functionality has not changed. The new outgoing referral functionality allows your practice to track patients that are referred out to an external provider.
To add a new outbound referral, click Add Outgoing Referral, and then enter the following information:
- Select a Referral Source from the drop-down list, or type a new one and click Create [Referral Source Name].
Note: Outgoing Referrals use the same Referrals Source list that already exists for Incoming Referrals (Administration > Practice Settings > Referrals). - Select a referral date. This date defaults to today's date but can be changed to a day in the past.
- Select a Referral Type from the drop-down list, or type a new one and click Create [Referral Type].
- The Active Referral column is automatically set to Y (Yes) upon referral source creation.
- Select the date that the referral is expected to be due back. This date is automatically set to one month from the current date but can be changed.
- Click Add Note to add any additional relevant information to be stored along with the Referral Source (e.g., a reason for the referral).
- Click Save Patient to save the new Referral Source to the patient's record.
Incoming and Outgoing referrals are also displayed on the Patient Home:
Note:
-- To close out an outgoing referral, return to the Patient Record and click Close next to the referral.
-- Currently, any Referral reporting (e.g., Referral Activity Report, Productivity by Referral Source Report, etc.) contains only Incoming Referrals. Reports for Outgoing Referrals will be made available in a future release.
Additional Referral Updates
- The Referral Sources menu has been renamed Referrals (Administration > Practice Settings > Referrals).
- The Referrals screen now includes a Referral Type tab. From the Referral Type tab, you can:
-- Add New Referral Types which will be selectable when adding Referrals to a Patient Record.
-- Edit existing Referral Types to change the name or make them inactive.
Note: You can still add new Referral Types directly from the Patient Record when adding referrals as well. - The Referred Patients tab of the Referral Entry screen now includes a count of Incoming and Outgoing referrals.
