Ortho Contract: Charge Schedules Editing Capability
The Orthodontic Contract functionality has been enhanced, providing practices with a greater ability to tailor the ongoing terms and schedule of Ortho Contracts to accommodate changing patient needs. Sensei Cloud now allows you to manually edit charge schedules for Contracts, even when they are already well underway.
Changes to Contract charge schedules can be made as a one-time occurrence or you can apply changes to all remaining charges/payments. This feature makes it easier to work with patients on a case-by-case basis, accommodating their individual circumstances.
The following changes can be made to a patient's Ortho Contract Charge Schedule:
- Adjusting a future, scheduled contract charge so patients can make a one-time payment for a different amount than the originally agreed upon amount
(e.g., the patient received a bonus at their job and wants to make a payment for a higher amount this month, or the patient is short on cash this week and wants to make a one-time lower payment) - Altering the payment amount for all remaining scheduled charges
- Changing the date that the charges fall on each month (e.g., the 15th of each month)
Simply proceed to a patient's Contracts window (Patient > Financials > Contracts), select the desired active contract, and then click Edit Contract.
You can then scroll to the Charge History & Schedule section, and select a Charge Amount hyperlink within either the Guarantor or an Insurance Plan charge schedule to bring up the Edit Charge window.
Note: You can adjust the charge schedules for both the Guarantor and Insurance independently.
From the Edit Charge window you can implement changes to the amount and date, either making a one-time modification to a single charge, or applying a change to all remaining charges:
- Amount: Increase or decrease the charge amount
- Date: Change the charge date (e.g., if the patient wants to make an early payment, you can change the charge to today's date)
-
Apply to All: Select this option to implement the change for all future contract charges.
For example, if you change the contract date to 09/05/2026 (US) / 05/09/2026 (UK) and select Apply to All, all future charges will occur on the 5th of the respective month.
Click Set to apply your changes to the charge schedule.
Changing a charge amount causes future charge amounts to automatically be recalculated. In some cases, this may change the number of remaining contract payments. When this occurs, an alert is displayed detailing the adjusted number of payments:
IMPORTANT: Changes made to the charge schedule are not officially saved until you select .
Click Revert Unsaved Changes to reverse the changes you have applied. You can select this option up until you have specified changes to the Contract's charge schedules (by saving the contract).

Appointment Request Feature
When a patient comes in for an appointment, Providers can now request to schedule future appointments from the Appointment List in the Orthodontic Clinical Summary (Patient > Clinical > Orthodontic Clinical Summary) or the Appointment List on the Patient > Home.
Requested appointments are visible from the Checkout window (which is accessible by clicking on the patient's appointment tile in the Checkout queue), alerting the front desk team so that they can navigate to the Location's Schedule (US)/Diary (UK) and schedule the appointment accordingly. The requested appointments are also added as tiles to the side panel in the Schedule Day View/Diary Day View, and these can be used to formally book the appointments.
The Request Appointment feature is particularly useful for orthodontic appointments, where you might need to request an appointment or a series of appointments for a certain number of weeks out in the future (e.g., a patient that needs to return in 6 weeks to adjust their braces). The provider can request an appointment while the patient is in the exam room, and this request is visible to the front desk staff upon checkout.
This helps minimize back-and-forth communication between the clinical and front office teams. The clinical team can simply provide the necessary scheduling parameters, while the front office can proceed with coordinating the date and time for each appointment directly with the patient.
From the patient's Appointment list, click the Plus Sign icon to open the Request Appointment window.
From the Request Appointment window, enter the following information:
-
Appointment Date
Note:
-- There are easy buttons available for selection to make the appointment land on a date that is either 1 week, 6 weeks, 1 month, or 6 months out from the current date.
-- You can click these buttons multiple times, for example, if you want to make an appointment that is 12 weeks out, you can click +6W twice. - Appointment Location
- Appointment Type
- Provider
- Appointment Duration
- Notes
When the appointment details have been entered, click Request, and the appointment is added to the patient's Requested Appointments.
Note: You can request multiple appointments at a time. Simply click the icon again and enter the necessary details.
Requested Appointment tiles are added to the left side panel on the Schedule for the affected Location and are ready for reception to schedule upon checkout.
