Google review invites let the practice ask patients for feedback automatically after their appointments, which helps build the practice's online reputation and visibility on Google.
Locating Your Google Place ID
To locate your Google Place ID:
- Go to https://developers.google.com/maps/documentation/places/web-service/place-id.
- Scroll to the map.
- Type your practice name into the Enter a Location field. When your practice appears, the Google Place ID is shown in the Google Place id field.
Adding Your Google Place ID to Patient Bridge
To add your Google Place ID to Patient Bridge:
- From the menu bar, select Admin, then click Edit Practice.
- Scroll down to Google Place Id.
- Paste in your Google Place ID.
- Scroll to the bottom and click Save.
Sending Google Review Requests Manually
To manually send Google Review requests:
- From the menu bar, select Patients.
- Search for the patient.
- From the Actions drop-down list, select Request Review.
- For Review Location, select Google.
- Click Send.
Sending Google Review Requests Automatically
To automatically send Google Review requests, you will need to complete the following tasks.
Part 1 - Copying the Review URL
To copy the Review URL:
- From the menu bar, select Patients.
- From the Actions drop-down list for any patient, select Request Review.
- For Review Location, select Google.
- Copy the URL from the preview box.
Part 2 - Creating the Message Template
To create the message template:
- From the menu bar, select Communications, click Reminders, then click Manage Templates.
- Click Add Template. The Reminder Template fields are displayed.
- For Template Format, select SMS.
Note: The available formats are EMAIL, SMS, LETTER and VOICE. - For Template Name, enter a meaningful name.
- For Template Type, select one of:
- Outbound Only (1-way) — use this if replies are not needed. You can set a custom From Reference of up to 11 alphanumeric characters, which is what the patient sees as the sender.
- Interactive (2-way) — use this if you want to receive replies.
Note: From Reference is not available for interactive templates. - In Message Content, enter the message text, pasting in the review URL alongside any merge fields.
- Click Save.
Part 3 - Creating the Reminder Group
To create the Reminder Group:
- From the menu bar, select Communications, click Reminders, then click Manage Groups.
- Click Add New Group.
- For Group Name, enter a meaningful name.
- Set your filters. The available filters are Available Treatments, Clinic, OfficeID, Available Clinicians, Available Patient Types, Available Patient Statuses, Outbound Format Only, Age Filter and Gender.
- Click Add Filter.
- Click Save.
Part 4 - Creating the Reminder Campaign
To create the Reminder Campaign:
- From the menu bar, select Communications, click Reminders, then click Configure Reminders.
- Click Add Reminder.
- For Reminder Type, select Appointment Reminder.
- For Name, enter a meaningful name — for example, Google Reviews Campaign.
- Select Automatically Send.
- For Pre Or Post, select Post-Appointment.
- Leave VWR Collections blank.
- For Timeframe, set 24 to 48 hours after treatment.
- For How would you like to send this reminder?, select the outbound format.
- Select the template group you configured for Google reviews.
- Click Confirm.
Frequently Asked Questions
- When will automated Google review requests start sending? As soon as you enable the post-treatment reminder campaign.
- Can I choose which patients receive a review request? Not with the automated campaign. Use the manual workflow above if you want to choose per patient.
- Patients are getting a review request after every appointment. Can I reduce that? Yes. Filter the reminder group to include only certain appointment types — for example, examinations and fit appointments.
- Can I change the default Google review message? Yes. Contact Support for help with this.
- Can I track which patients completed a Google review? No, this is not currently available in the software.
