The appointment book lets you view and manage patients' appointments across clinicians and dates in one calendar view.
To open the appointment book, from the main menu bar, select Appointments.
Note: You can also open it from the Home page by clicking the Appointments icon.
Navigating the Appointment Book
Use the buttons on the top navigation bar to move around the Appointment Book.
- Today — returns to today's date.
- Date — opens a calendar so you can select a specific date.
- Arrows — move back and forward one day at a time.
- Timeline — changes how appointments are displayed.
- Day — shows a single day's appointments.
- Month — shows a month's appointments.
Filtering the Diary and Downloading the Practice Day List
You can filter the Diary and download a Practice Day List from the Appointment Book.
- Clinicians — select a clinician to view only their schedule.
- Status — select or clear In Clinic, Scheduled, Failed To Attend and Completed.
Each status has its own colour in the appointment book. - Download Practice Day List — produces a PDF of the diary to print or save.
- Reminder Status — shows the reminder icons for SMS.
Messaging Patients
To message a patient from the Appointment Book:
- Click the patient's appointment. An overview of the patient's details opens.
- Under Send Message, select the channel — SMS or Email.
- Select the campaign — Bulk SMS or Bulk Email.
- Select the template to send.
- Click Send.
Sending Bulk Fail to Attend Messages
To send Failed to Attend messages in bulk:
- In the appointment book, click Month.
Note: In month view, failed-to-attend appointments are shown in red. - Click a red slot to list those patients.
- Click Send Bulk Messages to open the Bulk Sender, and then choose the channel and template.
Frequently Asked Questions
- Can I filter appointments by clinician or status? Yes. Select a clinician from the drop-down list, and select or clear the status checkboxes.
- How do I navigate to a specific date? Click Today to return to the current day, click Date to pick a date from a calendar, or use the arrows to move day by day.
