Lab Case Management Enhancements
In response to customer feedback, the Lab Case tracking and management feature has been updated with additional information and filter options. The interface on the Patient Mini Card has also been expanded to improve your workflow.
New data fields include: Created Date, Provider, Lab Fees, Invoice Number, Anatomy, and Shade.
Entering Lab Case Details
The new fields are available for entry when you create a new lab case or edit an existing lab case from the Patient Mini Card or the Actions menu on the Patient > Clinical tab.
Note: Created Date is entered automatically; the other new fields are not required, but provided to enhance your ability to track, search, and report details.
Lab Case Management Worklist
The Lab Case Management worklist (Location > To Do > Lab Case Management) displays the new columns along with updated filter options, enabling you to more quickly refine and search the list.
From the Actions menu, you can use the Export option to create a .CSV (spreadsheet) file of the currently displayed list.
You can update the details of an existing lab case by selecting the item in the list and clicking Update Lab Case.
Note: When you update a Lab Case with a Closed status, you are prompted to reopen it first.
Updated Mini Card
When you click the Lab Case beaker on the Mini Card, the updated interface lets you view the lab case History (all) and Current (non-closed) cases, edit an existing lab case, or click New to create a new one.
Note: You can also create new Lab Cases using the Actions link in the Hard Tissue Chart and Clinical Chart (EMR) screens (Patient > Clinical).

Updated Claim Resubmission Process (US Only)
In response to the Sensei Cloud community's top-voted UserVoice request, the process for resubmitting claims has been simplified! You can now update and resubmit a claim without cancelling it first or losing important details. A new Resubmit Claim option is available for claims with a Queued or subsequent status.
The new workflow automatically copies and creates a replacement claim that enables you to update and resubmit it while maintaining the details, history, and attachments from the original claim.
- When you click Resubmit Claim, the status of the original claim changes to Resubmitted, and the Status Change Note indicates: Resubmitted as Claim #[Claim Number].
- The replacement claim is created with a Status Change Note of Changed from [Previous Status].
- The replacement claim inherits existing details, including status history and any attachments, and reflects updates to underlying information, such as patient or policyholder demographics or anatomy associated with charges.
- From here, you can add or update details as needed, and then click Submit Claim.

Automatic Claim Status Updates from eClaims Reports
Great news! Sensei Cloud now uses incoming electronic claims (eClaims) Claim Status reports to update insurance claim statuses. These reports are received automatically and stored in Location or All Locations > Archives > eServices Reports. The Claims Management screen (Location > Claims) automatically updates when a new report is received, enabling you to more quickly identify claims that need your attention.
- Claims marked Rejected or Final Rejected will update the status to Rejected.
- Claims marked Accepted or Final Accepted will update the status to Accepted.
- If the report indicates an error in the claim, the status is updated to Error.
- Claims with a status of Warning or Pending are not updated.
Note: You are still able to manually update a claim status. The automatic process does NOT overwrite a status that was updated manually to Paid, Denied, Closed, or Completed, but will overwrite other manually entered statuses.
Note: If there are multiple status results returned for a claim, the highest ranking status is used, such as Rejected over Error.
Search Enhancements: Patient ID, Chart ID, NHS Number
If you know the Patient ID, Chart ID, or NHS Number of a patient, you can enter it into the Search Patients field, as well as the search fields in the following locations, as applicable, to find relevant files or records:
- Unbilled Procedures (Location Tab > To Do)
- Pending List (Location Tab > Appt Worklists)
- Unposted Procedures (Location Tab > To Do)
- Implant Tracking (Location Tab > To Do)
- Treatment Plan List (Location Tab > Appt Worklists)
- Referral Follow-Up List (Location Tab > To Do)
- Claims Management (Location Tab > Claims)
- Patient Follow-Up List (Location Tab > To Do)
Recently Closed Patient List
To improve your daily workflow, a new feature has been added to the top of the Sensei Cloud screen, next to Search Patients. Click the Recently Closed Patients icon to select and re-open any of the last ten patient tabs you closed. The list remembers up to ten patients (per user, across login sessions), enabling you to close a tab you may want to access again soon, without needing to search for and select it again.
Note: If you manually search for and select a patient from Search Patients, the name is not removed from Recently Closed Patients; however, the list will refresh accordingly when the tab is closed again.
Patient Kiosk Self Check-In Screen
Sensei Cloud now provides a Patient Kiosk feature that enables patients to check themselves in for their appointments! Contact your Carestream Dental representative to have this feature turned on for your practice.
To launch the Kiosk, select Location > Home > Open Patient Kiosk. This action logs the user out of Sensei Cloud and launches the Kiosk application on the device.
Note: It is recommended that you use an externally-facing device for this purpose, as you cannot access additional Sensei Cloud functionality on a device in Kiosk mode.
- When the patient arrives, they click or tap to begin, and then select their preferred language. They are prompted to select their birth month and day and the first letter of their last name.
- The patient sees: "You have been checked in successfully. Please take a seat in the waiting area."
- Successful check-in from the Kiosk changes their appointment to Checked In and places it in the Waiting Queue.
- If the patient's information cannot be verified, or if they do not have an appointment on the current date, or if the appointment start time has already passed, they are directed to the Front Desk for assistance.

Payment Manager: Automatic Payments (US Only)
Sensei Cloud customers using the Payment Manager electronic payments service can now set up Payment Plans (Patient > Financials > Payment Plans) to automatically process recurring monthly payments using a credit or debit card. The card is then charged on the designated Payment Day of each month (or defined frequency) until the contract is cancelled or completed.
When you create a new plan or edit an existing one, you will now see a section for Automatic Payments.
- When you select Add Automatic Payments, the billing details of the plan/contract are displayed.
- Click Add Automatic Payment Method to enter the card information, and then click Submit. Sensei Cloud connects with Payment Manager to process the setup.
- Coming soon: ACH for automatic payments!
IMPORTANT: Sensei Cloud does NOT store credit card numbers. The interface between Sensei Cloud and Global Payments, Inc. (GPI) shares a "token" that enables a repeat use of the specified card per the payment plan details.

New Clinical Plaque & Bleeding Index
In response to customer requests, a new clinical entry screen has been added to record a patient's Plaque & Bleeding Index. The percentage-based values generated are separate from the values recorded in the Perio exam.
To access this feature:
- Select Patient > Clinical > Perio Chart.
- In the left panel, under Other Exams, click Plaque & Bleeding Index.
- If no exams are present, you are prompted with a link to Record New Exam?
- If previous exams exist, the last exam is displayed.
- To view previous exams, use the selection field at the top of the screen. - Select Record New Exam. The patient's tooth chart (inherited from the Hard Tissue Chart) is displayed and ready for entry for both Plaque and Bleeding values.
- Click on the section of each tooth to record any plaque and bleeding discovered from the exam. The Combined section displays the entries together to provide a map of the patient's issues.
- Click Save Exam. You can then click Print Exam to create a .PDF file of the selected exam to save in Patient Files or send home with the patient.
Note: You can edit an exam after saving it, but only on the same day it occurred.

Referral Sources: Referred Patient Tracking
The Referral Sources feature (Administration > Practice Settings > Referral Sources) now includes a Referred Patients tab that lists the patients referred to your practice by each source. Click on a source to access the Referral Entry screen and the associated tabs.
- This tab lists the referred Patient Names, with each name being a hyperlink to the Patient Snapshot, enabling you to navigate to the desired Patient interface.
- A patient can appear on the list multiple times (for multiple referrals) but is only included in the No of Referred Patients (x) count once. This number is displayed in the Referral Count column on the Referral Sources list.
- The Referral Date is the date of the referral.
- The Active Referral column indicates whether this is the current active referral for the patient, per the Patient Record.
Note: A patient can have multiple referrals, but only one Active referral at a time. - The Patient Balance is the total patient balance, including outstanding contract amounts (as applicable), not just the balance for referred work.

Fast Navigation: Patient Appointments List to Day View
You can now jump directly from the Patient > Home tab Appointments list to the Diary or Schedule Day View where the appointment is scheduled.
Click to jump to the scheduled date on the Diary or Schedule.
