Integration with QuickBooks Online Recorded Class
You can export your Sensei Cloud transaction records to your QuickBooks® Online software.
To establish a connection between Sensei Cloud and QuickBooks Online:
- From the Administration tab, select Devices & Integrations > QuickBooks.
- Under Actions, click Connect to QuickBooks. A login window for QuickBooks is displayed.
- Enter your QuickBooks login information, and then click Continue.
- Enter the required information.
- Click Next. You are returned to Sensei Cloud.
- Confirm that the QuickBooks data has loaded (i.e., if the Set Default Settings option is available under the Actions menu in the QuickBooks Settings [Devices & Integrations > QuickBooks]). If so, the connection has been established.
When you have successfully connected to QuickBooks, you can then specify the default QuickBooks settings as well as the settings for each practice location.
To set the default settings:
- From the Administration tab, select Devices & Integrations > QuickBooks.
- Under Actions, click Set default settings. The default settings are displayed.
- Set the Defaults for all payments:
--Deposit to Account: Select an account.
--Itemize by Patient: Select Yes or No.
--Associated QuickBooks Class: Select a class, if needed.
--Deposit Line Item Detail Account: Select an account for the deposit line details (e.g., Sensei Income).
--Transfer Transactions From Date: Select a date. - Select which payment types to include in the transfer by clicking Yes or No.
--Cash payments
--Check payments
--Credit Card payments
--Debit Card payments
--Insurance payments
--Refund payments - Click Save Default Mappings.
To edit the QuickBooks settings for a practice location:
- From the Administration tab, select Devices & Integrations > QuickBooks.
- Select a practice location.
- Click Edit Default Mappings. Each setting has Inherit from defaults selected by default.
- Change the settings as needed.
- Click Save Default Mappings.
To export your Sensei Cloud payments to Quickbooks, navigate to the Financial Daysheet and close the day for the practice. See How to Close the Day Financial Daysheet for more information.
To export your Sensei Cloud transaction data to QuickBooks:
- From the Location tab, select Financial > Daysheet. The Financial Daysheet is displayed.
- At the bottom of the window, click Close the day for [name of location]. The Close the Day window is displayed.
- Select each section of the Daysheet for which you want to print a report.
- Select Yes under the Would you like to export transaction records to QuickBooks? field.
Note: This option is disabled if the QuickBooks Settings default settings have not been defined for Deposit to Account and Deposit Line Item Detail Account. - Click Confirm. A notification at the bottom of the screen is displayed when the Daysheet is finished closing. An additional notification is displayed when the transaction data is transferred to QuickBooks successfully.
- You can then log in to your QuickBooks account to view the transferred data.
