Sensei Cloud now allows your practice to use Patient Kiosk mode, which enables patients to use an in-office device to check themselves in to their appointment.
Patient Kiosk Settings
You can control how many minutes before their appointment start time that a patient can check in using the Patient Kiosk from your practice settings.
Note:
-- This means that a patient can check in up to 60 minutes early using the Patient Kiosk, but they cannot if they arrive earlier than that. Patients also cannot use the Patient Kiosk to check in if they arrive past the start time of their appointment.
-- When you are using Patient Kiosk, this should be done on an externally-facing device, as you will not be able to use the regular functions of Sensei Cloud while in Kiosk mode.
To set the duration before the appointment time that a patient can check themselves in:
- From the Administration tab, select Practice Settings > Patient Kiosk.
- Under Actions, click Edit Settings.
- Under the Patient (Self) Check-In section, use the Check-In Prior to Appointment Start Time setting to set the duration in minutes before a patient can check in.
Note: This setting defaults to 60 minutes. - Click Save.
Using Patient Kiosk
To launch Patient Kiosk:
- From the Location tab, select Home, or select Location > Schedule or Diary.
- Under Actions, click Open Patient Kiosk. The Open Patient Kiosk window is displayed.
- Click Open Patient Kiosk.
Note: When you launch Patient Kiosk, you are logged out of Sensei Cloud and into Patient Kiosk. This is to prevent issues such as patients accidentally accessing sensitive patient data.
Patients can check themselves in using the follow process:
- Touch the screen or click using your computer mouse to begin the self check-in process.
- Select your preferred language.
Tip: Click RESTART on any of the screens to return to the beginning of the check-in process, for example, if you have accidentally selected the wrong option. - Select your birth month.
- Select your birth day.
- Select the first letter of your last name.
A message is displayed if all of the entered criteria is correct and you are checked in successfully.
Note:
- An Unable to check into your appointment message is displayed if any information is entered incorrectly, if the start time of the patient's appointment has passed, or if the patient does not have an appointment on the current date. The patient is directed to speak to a staff member at the front desk to check in.
- When a patient is successfully checked in, their appointment status is changed to Checked In in Sensei Cloud, and the associated appointment tile is updated to include the dark blue bar on the right side in the Schedule or Diary Day View. See How to Update an Appointment Status for more information.
