Enhanced Process for Timecard Adjustment
This release delivers several workflow improvements to Timecard Reporting.
From the Timecard Reporting screen (Administration > Team > Team Timecards), click a Team Member line to expand the details for the selected Reporting Period. From there you can View Detail to see Timecard Details, or click Add to create a new manual entry.
The updated functionality enables you to add entries for multiple locations on the same day, and to add additional time blocks to an existing day's entry. You can also edit/correct existing entries. The system warns you when times overlap.
Note: Issues/errors are noted with a warning icon. Hover over the icon to see the warning, such as "Clocked in but never clocked out."

Timecard Reporting By Location
Employee time is now recorded by logged-in Location. This is always the the left-most tab on the screen, even when working with different Location tabs. This enables more accurate time tracking for employees who perform work at more than one location.
Note: When you change your logged-in location, you will be automatically clocked out of your current location and clocked in to the new location. -
Adding a New Timecard Entry
Use the Add button to manually create a new entry when a work session was not logged. Enter a Date and Location, and a time range. You are required to enter a comment in the Notes field before submitting.
- Use the + sign to add additional time blocks to the same date and location.
- Use the Add button to add additional entries for other dates and/or locations. -
Editing Timecard Entries
The previous interface requiring you to override an entry by adding or subtracting time has been updated by popular request! You will now access the Add/Edit Timecard Entry window by selecting the pencil icon.
Select the Location for the entry/update, and manually correct the start and stop work times. You are required enter a comment in the Notes field before submitting. -
Time Display Options
A new filter option lets you choose your preference for displaying time: Minutes, Decimals, or Rounded to the Quarter Hour. -
Automatic Clock-In
Hourly employees are automatically clocked in when they log in to Sensei Cloud, to the location they last were logged into. It is recommended for hourly employees to clock out each day from the User Menu by selecting theoption.

Patient Share Deferment Until Insurance Claims are Settled (US Only)
In response to customer requests, you can now configure the practice Financial Rules to defer populating the Patient Share balance due amounts for claimed services until after the associated insurance claims have been processed and settled.
When this feature is enabled, any applicable Insurance Estimate information will still be recorded but it will not be reflected in the Patient Share & Insurance Share balances. Instead, the sum of the billed services (based on the submitted fees, not allowed amounts) will be Insurance Share until it is assigned to Patient Share or otherwise written off.
Note: Even with the setting enabled, billable services that are not included on a claim are considered Patient Share, along with any services or charges that are not billable to insurance.
Throughout the process of managing claims and payments, you are prompted to Take Next Steps. The Perform Next Steps window contains a new option to Assign Remaining Balance to Patient.
When you select Assign Remaining Balance to Patient, you are prompted to confirm, along with an explanation:
To enable this setting, select Administration > Practice Settings > Financial Rules > Edit Financial Rules. Under Insurance Estimation Defaults, for Defer Patient Share Assignment Until Insurance Settled, select Yes.
- The default setting is No, in which case Sensei Cloud uses estimation data to automatically determine the portion of the charges for both Patient and Insurance Share at the time of posting and claim creation.
- You can still manually assign a balance due amount to the Patient as needed.
Note: This functionality applies to new claims created after the setting is enabled. Previously calculated claims and balances are not affected.

Appointment Worklist
A brand new Appointment List has been added to the location appointment-related worklists!
(Location > Appt Worklists > Appointment List)
This customizable screen provides another way to view and manage appointments besides selecting them from the Day View. Use the filters to specify a date range, specific providers, or appointment types and statuses.
Filter and refine the list as needed to target the information you need on a given day. For example, you could show upcoming appointments with a certain Appointment Type (e.g., Implants), or simply view and process today's appointments in a list view format.
Customizing the Appointment List
Use the Manage Appointment View control to select which columns display for the selected location, and in what order. You can also choose to display a truncated (compact) view of each line if that is your preference. Use the additional filters as desired.
Managing Appointments
Select an item from the list to view the details and move the patient through the phases of the appointment (Check in, Seat, Check out). You can edit the appointment, access the clinical interface, and print the routing slip.
You can also:
- Click the patient's name to access the MiniCard.
- Click the appropriate icon to add or edit Lab Cases, Patient Tags, Medical Alerts, and Notifications.
- Click the Total (Pt Due): amount to view Insurance Estimation Details.

Auto-Complete Treatment Plans
To improve the workflow, you can now configure Sensei Cloud to mark a treatment plan Complete at the end of an appointment in which all or remaining procedures in the plan have been completed, or when remaining uncompleted procedures are removed from the plan. You can also choose to be prompted to mark a plan complete (vs. automatic without prompting) whenever the criteria are met for completing a plan.
Note: This action is triggered at the time procedures are completed or removed, not when charges are posted.
To enable this setting, select Administration > Practice Settings > Treatment Plans > Edit Treatment Plan Settings.
You can select Prompt to complete or Auto-complete, based on your preferences, or leave the default of Do not auto-complete if you prefer to do this manually.

Perio Chart: BPE/PSR Exam
The Patient Perio Chart (Patient > Clinical > Perio Chart) now displays the BPE (UK) or PSR (US) exam information at the top of the screen. This is still present at the top of the Dental Chart/Hard Tissue Chart, but is also duplicated at the top of the Perio Chart.
Use the controls to view and edit existing exams or record a new one (one per day).
The Tools section: Acquire New Image, Insert Note, and Plan Treatment options previously occupying this space at the top of the screen have been moved to the side, under Actions.

Treatment Plan Printout Enhancements
In response to customer feedback, you now have the option to define or edit the disclaimer on the Treatment Plan print out, or select No if you do not want to include it. You can also include a column for the Insurance write-off amount.
To update these settings, select Administration > Practice Settings > Financial Rules > Edit Financial Rules, and then scroll down to Treatment Plan Defaults at the bottom.
- To Include Disclaimer on Printout, select Yes, and then enter or edit the text of the disclaimer in the box.
Note: The disclaimer is generic and applies to all patients and all locations for the practice. To add patient- or plan-specific notes, use the Patient Notes entry in the Manage Treatment Plan window. - Select No if you do not want the disclaimer on the printout.
- To Include Insurance Write-Off Column, select Yes. That information from the Insurance Estimation process is added as a column to the printout.
- Click Save.

Treatment Plan Worklist Improvements
The Treatment Plan List (Location > Appt. Worklists > Treatment Plan List) has been improved with new filters and associated columns for Provider and Created Date. These new filters enable you to refine the worklist and better target your goals.

Defects and Small Enhancements
29 additional items were addressed, including:
- You can now bulk-delete as well as bulk-schedule appointments from the Pending List. (Location > Appt Worklists > Pending List) Select multiple or all items in the list and click Schedule Appointments or Delete Appointments under Actions.
- A defect in which patient appointments remained on the Recall/Recare list after being scheduled has been corrected.
