NHS EDI PIN Retention (UK Only)
In response to customer requests, the workflow for transmitting claim data has been streamlined. You can now direct Sensei Cloud to save Provider NHS EDI PINs so you do not need to re-enter them for each transmission.
To enable this setting:
- Select Administration > Practice Settings > NHS Settings > Edit Settings.
- For Retain NHS PIN for Claim Data Transmission, select Yes.
- Click Save.
Note: After this setting is enabled, you will be required to enter/verify the PIN for each provider the next time you transmit claim data for that provider. The PIN is then saved for subsequent transmissions.

Encounter Lists for Managing Appointments (US Only)
Based on customer feedback, a new Encounter List feature has been added to the patient clinical interface to give you a faster, more convenient way to select procedures when managing and documenting patient care.
Creating Encounter Lists
You can define lists of commonly-performed procedures in order to select them quickly from the Clinical Chart (EMR) screen. Encounter lists are based on existing procedure lists/fee schedules. You can create multiple lists, with one default, for any defined schedule.
Select Administration > Clinical > Encounter Lists to view/edit existing lists or create a new one. The items displayed are based on the procedure list/fee schedule selected in the for field.
Select Create New Encounter List to create a new list for the selected fee schedule. You must provide a unique name for the list (per fee schedule), but you can repeat a list name across schedules (e.g., "Dr. Watson's Codes" for each fee schedule).
Select the name of a list to edit the name, status, procedures, and the default status. You can also click and drag the order of how the procedures are displayed for selection.
Using Encounter Lists for an Appointment
The Appointment Management interface (Patient > Clinical > Clinical Chart (EMR) > Manage Appointment) has been updated to enable you to access pre-defined lists of procedures, and then click items to add them to the appointment:
- From the patient's Clinical Chart (EMR), select Manage Appointment.
- Click Encounter List, and then select an encounter list and fee schedule.
Note: When a fee schedule is assigned to a patient (Patient Record > Patient Preferences), the default encounter list for that fee schedule is displayed. You still have the flexibility to select from different lists and schedules.
- Select procedures from the displayed list (single click on the procedure name) to add them to Appointment Procedures. A brief message pops up to confirm each selection.
Note: You can select an item multiple times as needed when multiple teeth/quads, or surfaces are involved, such as extractions or arches. - Click on Appointment Procedures to continue managing the appointment.
Note: You can continue adding procedures from the selected fee schedule, or select a different list or schedule.
- Use the columns to further document each procedure, such as anatomy and diagnosis code when required, mark as completed, delete from the list, or defer.
Note: You are prompted to enter required anatomy before saving/completing the appointment. - Use the Notes for Checkout box to enter comments, such as follow-up instructions, for the appointment.
- Click Save or Complete Appointment, as appropriate.

Seated Queue Tile Enhancements
The tiles in the Seated Queue have been enhanced to provide more information at a glance:
- A color strip denoting the Provider assigned to the appointment is displayed on the tile, as these colors are displayed on appointment tiles on the Schedule, when Color Appts by Providers is selected from Manage Schedule View cog.
Note: When appointment tiles are colored by Appointment Type, the Seated Queue tiles still display the Provider's color. - Provider colors are assigned in Team Member Settings from the Administration tab.
- The assigned Doctor's color is displayed by default if more than one Provider is assigned to the appointment. If only a Hygienist is assigned, that Provider's color is displayed.
- Hover your cursor over the tile to display more information. The Latest Note displayed is the last manually-added Appointment Note to the appointment.

Time Lock Enhancement
In response to customer requests, the Edit Time Lock window now enables you to edit the duration of an existing blocked space on the Schedule. When you edit the block, use the Duration field to extend the length of the time lock.

Ability to Edit Multiple Charge Transactions
An option has been added to the Adjust this Charge window (Patient > Financial > Ledger > [select charge] > Adjust this Charge) enabling you to correct limited types of information for multiple related charges at the same time. The purpose is to save you time when making corrections that affect more than one charge for a service date or charges associated with the same claim. Sensei Cloud provides checks and prompts throughout the process, and you may still make adjustments to individual line items as needed.
- When using the Correct Information option for multiple charges, you are able to update Locations and Provider, and add comments, but you cannot adjust the amount.
- When using the Remove Entry option, multiple charges are removed, and you are prompted regarding results/next steps for the action. For example:

If the selected and related charges have already been billed to insurance (included on a claim), you are prompted to cancel the claim and create a new one.
Note: This is true for both the Remove Entry and Correct Information options, and whether one or multiple charges are selected. -
If the selected and related charges have not been billed to insurance, you have the option to remove or correct the charges from the same Date of Service.
