Sensei Cloud provides the following features to help you manage the treatment status and recall appointments for Orthodontic patients:

Ortho Treatment Status Management -- Use this feature to manage custom orthodontic treatment statuses, as well as designate a status as Requires Recall, enabling you to calculate recall dates and automatically add patients to the Ortho Recall List when their assigned status requires it.

Ortho Recall List -- Use this worklist to view and contact patients based on treatment status/recall date, update treatment status and add notes, and schedule appointments.
(Location > To Do > Ortho Recall List)

Ortho Recall Date and Ortho Tx Status Name -- Select these variables when creating Patient List reports. (Dashboard > Reports > Patient List)
- Ortho Treatment Status and Ortho Recall Date -- Use these merge fields in correspondence templates. (Administration > Templates > Correspondence Templates)
Managing Ortho Treatment Statuses
To manage the list of treatment statuses for Orthodontic patients:
- From the Administration tab, select Practice Settings > Ortho Treatment Status. The Ortho Treatment Status Management window displays the list of treatment statuses for your practice.
- Select a status in the Status Name column. The Update Ortho Treatment Status window is displayed.
- Update the Status Name, Description, or Active/Inactive status as needed.
Note: Any edits are automatically reflected throughout Sensei Cloud. Deactivating a status prevents its future use, but will not impact patients currently assigned with this status. - To flag this status for recall, select Requires Recall. The Default Recall Delay fields are displayed.
- Define the recall time period by selecting a number, and then selecting Days, Weeks, or Months.
Note: Changes to this setting will not alter existing recall dates for patients currently assigned this status, but will adjust the default recall date when this status is applied in the future.
Note: Deselecting Requires Recall will affect all patients currently assigned this status by removing their recall dates and removing them from the Ortho Recall List. - Click Update to save your changes.
Adding a New Status
To add a new status:
- Select Create New Status. The Create Ortho Treatment Status window is displayed.
- Enter a unique name for the status, and a description if desired.
- To flag this status for recall, select Requires Recall. The Default Recall Delay fields are displayed.
- Define the recall time period by selecting a number, and then selecting Days, Weeks, or Months.
- Click Create.
Using the Ortho Recall List
When an Ortho Treatment Status is designated Requires Recall, patients assigned that status are automatically added to the Ortho Recall List.
To use this worklist:
- Select Location > To Do > Ortho Recall List.
- Use the filters to refine the list based on Treatment Status and/or Recall Dates.
- Select a patient in the list. Additional information is displayed.
- From here you can:
- Click Update Ortho Tx Status to change the status, manually change the recall date, or add notes.
- Click Schedule Appointment to create an appointment for the patient.
Note: Scheduling a new appointment does not automatically update the patient’s ortho treatment status or remove the patient from the worklist. You must still update the ortho treatment status. To remove the patient from the list, update to a status that does not require recall.
