The Accounts Receivable Report displays all non-zero accounts by default.
You can use the filters on the left side panel to refine the list by Account Type (such as All Credit Balance or All Positive Balance) or narrow the list to a specific Doctor.
To print the Accounts Receivable Report:
- From the Location tab, select Financial > Accounts Receivable. The Accounts Receivable List is displayed.
- Under Actions, use the Filters to refine the view as needed.
Important: You must click Apply Filter to apply any selected filters to the list. Click Reset to restore the filters to their default selections.
Note: Accounts that are missing critical information (exceptions) or have discrepancies are marked with an orange icon. Hover your cursor over an alert icon to see what action is needed on the patient account.
-- Click the patient's name to take action.
-- For patients with balance discrepancies, there is a Transfer Location Credit option. See How to Correct Balance Discrepancies Across Practice Locations for more information.
-- You can filter the list to include or exclude patients that have the selected Patient Tags assigned to them. For example, you can choose to Exclude Patients With Any of These Tags Selected and select the Collections and Chart Requires Attention Patient Tags. In this case, a patient that has either of these Patient Tags will be excluded from the list. See How to Create and Use Patient Tags for more information.
-- To generate a list of Accounts that meet specific criteria, select the Show Only checkbox in the Actions panel, and select Invalid Address, Balance Discrepancies, or Inactive Patients from the drop-down list. Be sure to click Apply Filter to apply the changes to the Accounts Receivable list.
For example, if Inactive Patients is selected, only accounts for inactive patients are displayed in the list with an orange alert icon.
Note: A payment planicon is displayed in the line item when the patient has one or more active payment plans.
- Click Print Current View. A .PDF version of the list is generated.
Tip: In addition to printing the Accounts Receivable Report, you can also export it to a .CSV file. From the Actions menu, click Export Current View.
Bulk Reconciliation of Balance Discrepancies
From the Actions menu of the Accounts Receivable list, you can click Auto Reconcile Balance Discrepancies to automatically reconcile balance discrepancies for all applicable patient accounts. This allows you to post a series of Location Transfer Adjustments all at once to resolve balance discrepancies, rather than transferring patient location credits a single transaction at a time from the Patient Ledger.
Note: You can still use the Transfer Location Credit option from the Patient Ledger in cases where you would like more control in how specific Balance Discrepancies are resolved.
See How to Correct Balance Discrepancies Across Practice Locations for more information.
All Credit Balance Reports
Filter the list by All Credit Balance to show only patients that have a negative balance.
Note: Be sure to click Apply Filter after making any changes to the filter options.
Generating and printing a list of only the parties with a credit balance helps improve the workflow for issuing refunds.
- Click on a line item to expand it and display more information.
The Responsible Party name, address (if this information has been defined), and phone number are listed along with additional information such as the last payment, last appointment, and next appointment. - Click Print Current View to generate a .PDF file of the list. The responsible party contact information is included in the Responsible Party column.
