Use the Provider Schedule Planning (US) or Provider Diary Planning (UK) feature to define a provider's default working hours, associate a provider with a specific chair to display on the Schedule/Diary Day View, and to enter working hour exceptions for selected days.
Scheduler/Diary setup functions are performed from the Administration tab. You must have Admin permission for this tab and the related functions.
Default Provider Hours
If you have providers that split time between locations or work hours that differ from a location's default hours, you can define a Provider's default working hours.
To set up default provider hours:
- From the Administration tab, select Scheduler > Provider Schedule Planning (US) or Diary > Provider Diary Planning (UK).
- Select a Provider and Location (if your practice has multiple locations).
- Click Default Provider Hours. The provider's default hours are displayed.
- Click Edit Default Hours. The Default Provider Hours window is displayed.
- For each day of the week, do one of the following:
- Elect to Use Office Hours (default).
- Deselect Use Office Hours and edit the hours for that day. Use the + sign to add additional working time slots.
- Select [Provider] doesn't work at [Location] for the selected day. - Click Save Hours. The provider's working hours are displayed in white, and non-working hours in gray.
Provider's Selected Chair
If your location has providers who work from specific chairs, you can associate a provider with his or her chair. The provider's working hours are displayed in that column on the Schedule Day View or Diary Day View, enabling team members to easily identify the provider's availability when scheduling appointments.
To link a provider to a chair:
- From the Administration tab, select Scheduler > Provider Schedule Planning (US) or Diary > Provider Diary Planning (UK).
- Select a Provider and Location (if your practice has multiple locations).
- Select Providers Selected Chair, and then click Add Chair. You are prompted to select a chair from the list.
- Select a chair for the provider. This associates the chair with the provider and his working hours for all days / dates for the location.
Note: A chair can only be linked to one provider within a location; once assigned, it is no longer available to associate with any other provider’s working hours.
- To associate a different chair with this provider, click Edit Chair.
- To remove the chair association, click Remove Chair.
Selected Day Details
Use this feature to define exceptions to regular working hours for specific days.
To enter selected day details:
- From the Administration tab, select Scheduler > Provider Schedule Planning (US) or Diary > Provider Diary Planning (UK).
- Select a Provider and Location (if your practice has multiple locations).
- Select a date or multiple dates on the calendar.
Note: To edit details for multiple days, press the Ctrl key and select the days for which this change applies. You can also select multiple days in a row using the Shift Key. - Click Selected Day Details and then click Edit Day's Details. (or Edit Days' Details if multiple dates are selected). The Editing Selected Days for [Provider] for [Location] window is displayed.
- Deselect Use Office Hours to adjust the provider's working hours, or you can select the option to indicate the provider is not working on the selected date(s).
- Click Save Hours.
