New Features, Fixes, and Enhancements
More Ways to Capture Signatures on Treatment Plans
Sensei Cloud has delivered on customer requests by expanding your ability to capture signatures on treatment plans! You can now use the on-screen signature pad with a mouse, trackpad, or touchscreen, instead of (or in addition to) the Topaz® electronic signature pad.
You can have the patient sign a new treatment plan, or an existing plan when significant elements are updated, such as procedures, price, or anatomy. Each signed or re-signed plan/signature is saved in Patient Files.
From the Viewing Treatment Plan window (Patient > Treatment Plans > [select plan name]), select Add Signature.
When the Sign Below box is displayed, you can:
- Have the patient use the mouse/track pad/ touchscreen, etc. to sign directly in the box, or
- Access the Topaz signature pad, if connected, by clicking the link.
Note: Sensei Cloud defaults to the Topaz signature pad if it is installed and connected, and defaults to the on-screen capture if not; you have the option to use either.
Click Sign after the signature is captured. The signature is saved in Patient > Patient Files as:
Treatment Plan [Name] Signed On [date].pdf.
For more information, see How to Digitally Capture Treatment Plan Signatures.
Schedule / Diary Enhancements
As part of ongoing Scheduler / Diary improvements, this release includes multiple, high-priority enhancements to the Day View and your ability to manage available hours for locations and providers.
Closed Days
The 3-month Calendar view now grays out closed days, to help you more easily identify and select open days for scheduling appointments. Additional filters help you refine your display when navigating in search of open time slots to fill.
Closed days are also skipped when you use the arrows at the top to navigate through the Day View one day at a time. Clicking the arrow takes you to the next (or previous) open day.
Display (View) Controls
If you are unable to view open columns when searching on open days, use the Manage Schedule View controls, including the Select Chairs to Display and Auto hide closed chairs options, to adjust what is visible on your Day View.
Use the NEW Chairs for filter to Select Providers to display. This enables you to quickly filter the Day View to only those chairs / columns assigned to the selected Provider(s), as well as unassigned chairs if desired.
Note: The defaults for this filter are All Providers and Include Unassigned Chairs / Columns.
For more information, see How to Manage the Schedule Day View.
Appointment Provider Defaults
An appointment’s default provider is now based on the chair’s assigned provider when scheduling directly into the provider's column. When scheduling indirectly or rescheduling an appointment, you are prompted when there is a conflict between the assigned provider and chair, so that you can decide how to proceed.
Location Defaults and Manual Posting
To improve accuracy of production reporting, the following enhancements have been made regarding defaults and manual posting.
New Patient Record
When creating a new patient, the Preferred Location and Preferred Doctor values now default as follows:
- When creating a New Patient as part of booking an appointment, the default is based on either the associated location's defaults OR the Doctor or Hygienist assigned to the chair/column selected for the appointment.
- When creating a New Patient outside of booking an appointment, the defaults use either the location defaults (via the Location tab) or the user's logged in location when not occurring from a location-specific interface.
Manual Transaction Posting
When you are posting manually from a location-specific interface, such as a location-specific AR Report, the transaction defaults to the specified location.
When you are posting manually from a non-location-specific interface, such as the Patient Ledger or Patient Home page, the transaction defaults to the user's logged-in location, which is always the first tab on the left.
You can change the defaulted Practice Location of a transaction from the individual interface, such as when posting charges from the Patient Ledger:
- Balance adjustments in the Checkout Queue now default to the appointment’s associated location.
- When working in a Location tab, the transaction defaults to that location.
- When working in a Patient tab, the transaction defaults to the user's current logged-in location.
- When working in a non-location-specific interface, such as the All Locations tab, Patient Search, or various patient-specific functions like the Snapshot or Mini Card, the transaction defaults to the user's logged-in location.
- Exception: When you are working the Statement Worklist from the All Locations tab, the transaction defaults to each patient's Preferred Location as defined in the Patient Record.
Tip: When performing multiple tasks, users might prefer to change the default location they are working in, in order to simplify the process.
For more information, see How to Switch Between Practice Locations for Multi-Location Practices.
NHS Band Charge Protection (UK Only)
NHS Band charges no longer need to be manually removed from the ledger before editing the treatment plan. Sensei Cloud automatically calculates refunds and adjustments as needed whenever there is an update to patient Exemption status, Course of Treatment (COT) details, and so forth.
When a user goes to adjust an NHS band charge (Patient > Financials > Ledger > NHS Band Charge > Adjust This Charge), the Remove Entry option is deactivated, and an explanation is displayed.
For more information, see How to Adjust or Remove Charges on the Patient Ledger.
BPE Score and Decayed Teeth Automatically Populate on NHS Claims (UK Only)
To help improve the speed and accuracy of documenting a patient's condition on NHS claims, Sensei Cloud now automatically populates BPE Score and Untreated Decayed Teeth information.
Theses details are visible from the patient's NHS Claim: Patient > Treatment Plan > [select NHS accepted Course of Treatment]. From there, select View Claim and then click Clinical Data Set / DMF to expand the details.
Note: These auto-populated values can be manually updated in the NHS Claim record as long as the NHS Claim is still open (Not Ready to Send).
The Highest BPE Sextant Score auto populates at time of claim creation (Course of Treatment acceptance), but also updates when the COT is marked completed if a new exam has been completed or an existing exam was updated.
The number of Untreated Decayed Teeth auto populates when the Course of Treatment is completed. This indicates the number of teeth that have "Decay" charted against any of its anatomy without a subsequent treatment charted on top of the decay to repair it.
Important: You must enable the automatic population of Untreated Decayed Teeth by selecting Administration > Practice Settings > NHS Settings > Edit Settings.
For more information, see NHS Treatment Planning.
Defects and Small Enhancements
16 additional items were addressed, including these UserVoice requests:
- Additional information is now displayed when you hover your cursor over an Appointment tile on the Day View, including Provider names(s) and the active Referral Source.
- Patient Tags are now displayed on the Patient Home Page in addition to the Mini Card.
- Private Pay Patient indicator displays on the Patient Home Page when the Patient is not Covered by Insurance option is selected in the Patient Record.
