New Features, Fixes, and Enhancements
The Sensei Cloud Team has been busy working on customer UserVoice requests, as well as a number of planned enhancements to improve your daily workflow and capabilities.
Scheduler / Diary Enhancements
Look for the following improvements to the Scheduler / Diary:
New Schedule Settings
Select Administration > Scheduler or Diary > Schedule Settings or Diary Settings.
Select a location and then click Edit Schedule Settings or Edit Diary Settings.
- Patient Name Display: Choose how names are displayed on the appointment tiles on the Schedule or Diary Day View.

Include Salutation: Select to include salutation such as Mr., Ms., etc.
Note: If you select this option in the UK, you can also enter the patient's Title, when applicable. The Title field here is the second of two that can be defined in the Patient Record. This setting displays in front of the name on the appointment tile. - Display Patient Age: Yes or No. Until the age of 18, patient ages are displayed in years + months.

Location Allows Double Booking: Selecting Yes enables users to book overlapping appointments within the same column. (Selecting No does not remove double-booked appointments from the Schedule, but prevents it going forward.)
When enabled, a number is displayed on the appointment tile to indicate how many appointments are scheduled in the time slot. Click that number to expand the information.

Adjusted Appointment Tile Display
The font size and icons (Medical Alert, New Patient indicator) have been adjusted for smaller appointment tiles, to enable you to read key information on the display, such as patient name and medical alerts.
Enhanced Time Lock Functionality
You can now edit a time lock directly from the schedule, instead of deleting and recreating it. You can update the text label display, the chairs / columns to which it applies, and the assigned color.

Print Diary or Schedule for Previous Dates
The Print Diary (UK) and Print Schedule (US) options have been enabled for previous dates.

Patient Tags
This highly-requested enhancement enables you to create labels to tag/mark/flag patients for a variety of purposes such as scheduling, tracking, follow-up, or marketing.
For example, you might tag patients who are in collections or have state insurance. Perhaps you want to track implant patients or those whose charts are incomplete and need attention. You could tag military members or veterans to send letters of appreciation, or tag family/friends for those who receive that type of discount. Strategically-placed filters and the Patient List Reporting feature enable countless ways to use these tags.
The Patient Mini Card now displays the icon next to the Medical Alerts and Yellow Sticky Notes, along with the number of tags assigned. Hover your cursor over the tag to view currently-assigned tags.
To add a patient tag, click the icon and select one from the list, or start typing to create a new one.
- This feature contains no pre-defined tags. Each practice can customize what they need for their tracking and reporting needs.
- You can create tags on the fly as needed; once created, they are available to select for other patients.
- A Tag filter has been added to Accounts Receivable lists and Statements, to enable you to refine lists and reports based on the presence or absence of specified tags. To set the filter, click the blue underlined words to toggle between Exclude and Include, and Any or All. Then, use the selection field to choose or remove defined tags.
- Patient Tags is now a column you can select when generating Patient List reports (Dashboard > Reports > Patient List). Select it from Available Columns, and then select one or more defined tags from the Filter Parameters.

Ortho Enhancements: Elastics Management (US Only)
Orthodontic customers can now enjoy a more robust interface for managing Elastics for their patients, using the updated Mechanics Tracking - Elastics screen. Select Clinical > Mechanics Tracking > [Mechanics Type] > Elastics.
Improvements include:
- The Elastics search list now enables you to add tooth numbers and usage indicators when defining a new Elastic Type for the list, making it easier to search and select the correct option for a patient.
- Tooth grid selectors for both Add New Elastic (general list) and Add Patient Elastic (specific patient) interfaces. The tooth numbering scheme is based on Practice Location Settings.
- A Recommended Start date selector for the Add Patient Elastic interface.

Elastics Handout: You can create customized instructions for the currently activated set of elastics. Select Print Elastics Instructions from the Actions menu to add specific instructions to the document. Print the handout for the patient during their visit, or access and email it later if needed.

Report Generator: Register Report
The Report Generator provides a new report type option to gain insight into your practice's financial performance. The Register Report calculates gross and net production and collection figures for a selected date or range.
Select the Report Format of Totals and Subtotals for a single-page summary, or select Totals, Subtotals, and Details to return data at the line-item level.
The calculation rules are as follows:
Net production = charges - charge corrections & removals - discounts - write-offs, + discount corrections & removals + write-off corrections & removals.
Net collection = payments - payment corrections & removals - refunds, + refund corrections & removals - bulk insurance overpayment adjustments.
IMPORTANT: For this report to match the figures on the Location Home screen, it must be generated using a Date Basis of Service date, not Transaction date.
Note: For Orthodontic contracts, only the initial charge is counted toward production.
Note: Converted/initial balances are not included in the production numbers.

Report Generator: Daily Activity Report Enhancement
In response to user requests, this report now provides the option to Include/Exclude Adjusted Transactions. When you select Include, the calculated values will include corrected and removed transactions, as well as the offsetting adjustment transactions.

Routing Slip Improvements
Based on customer feedback, the Additional Procedures Performed section of the routing slip now displays longer descriptions to make it easier to identify and distinguish the correct procedure performed during the appointment.

Outside Doctor Merge Fields / Professional Correspondence
Following up on the addition of Outside Doctor fields on the Patient Record, Outside Doctors and new related merge fields are now available for selection when creating professional correspondence.
From the Patient Correspondence screen, select Send Professional Correspondence.
- When creating correspondence, you can select a patient's Outside Doctor(s) as you would the Active Referral Source, when they are defined in the Patient Record.
- When using existing correspondence templates (or creating new ones), you can now include the Outside Doctor's Phone Number and Specialty fields as needed.
Note: The template should use the "addressee" merge fields as opposed to the "outside doctor" or "referral" merge fields to ensure that the data populates correctly.

Patient List Report: Improved State Tracking
A defect has been addressed in the Patient List reporting (Dashboard > Reports > Patient List).
When the (patient) Address column is included in a custom Patient List report, it now includes the US State or Territory abbreviation. This includes the on-screen, printed, and exported report output.
