Product Enhancements and New Features:
Referral-to-Treatment (RTT) Tracking (Waiting Lists)
The new Referral-to-Treatment (RTT) feature enables practices to keep track of patients, often referrals, who are supposed to be seen within a defined time period. You can define waiting lists with associated time frames, and then add patients to those lists, to help identify who needs to be scheduled within a certain number of days. The countdown clock helps to track patients toward the target deadline for an appointment.
This feature was developed in response to requests from UK customers with NHS contracts who need a more efficient way to track referred patients and comply with the associated RTT rules.
There is also a tracking widget to monitor your success rate toward your RTT goals.
Enabling and Setting Up
In order to use RTT, you must first enable it for each location and create waiting lists to be used at that location. To access these settings, select Administration > Locations.
For more information, see How to Set Up Waiting Lists.
This new feature includes:
- Waiting Lists, configured by Location.
When you create a list, you will enter a Clock Duration defining the time period required from referral to treatment (RTT) to schedule/complete an appointment, and select a Clock Stops On setting of Appointment Completion or Scheduled Appointment. This time period is the countdown clock for any patient added to the list.
To add a patient to a defined waiting list, select Patient Record > Edit Patient Record > Patient Referrals > Add to Waiting List, and then select the appropriate location and list. When the record is saved, the countdown clock begins.
Note: In order for the patient's countdown clock to stop automatically, the associated appointment must occur at the location of the selected waiting list.
- Waiting Lists worklist (Location > Appt Worklists).
Use this worklist to identify patients on RTT waiting lists who need appointments. Expand a list item to schedule an appointment, manage the patient's clock (pause, stop), view the treatment plan, or add notes.
Note: This worklist displays on the Appt Worklists menu only for Locations that have enabled this feature.
- A Waiting List Countdown indicator on the Patient Home Page that displays the name of the waiting list and the number of days remaining on the countdown clock.
- An RTT (#) indicator on the Patient Snapshot. Click this indicator to display the patient's waiting list and number of days remaining.
- A Waiting List Tracking widget on the Springboard (Dashboard > Springboard) for the practice. Note: The data is tracked for the entire practice when All is selected in the widget settings, but you can specify a particular provider or location.
For more information on using these features, see How to Use Waiting Lists.
Patient Notifications and Alerts (Sticky Notes)
Sensei Cloud has enhanced the look and functionality of patient notifications and alerts, enabling you to create pop-up reminders in a variety of categories. These visual reminders are accessible via the yellow sticky note icon on the patient Mini Card and on patient screens, as well as appointment tiles and windows.
You can now flag notifications as alerts, causing them to be displayed automatically when the user performs a function relevant to the assigned category, ensuring that important messages are not missed when the information is needed most. The appearance of a bell on the sticky note icon indicates that at least one of the patient's notifications is an alert.
These notifications are internal, designed to provide the user with information relevant to the current workflow. You can control the visibility of certain notifications when they are created, or opt to stop seeing a particular note when it is no longer useful.
Important: Patient notifications and alerts do NOT replace clinical notes or provide a permanent record of treatment, and should not be populated with sensitive patient information.
Click the sticky notes icon to view/filter the full list of patient alerts, or to add a new one.
Categories
Notifications fall into one of five categories: Clinical, Financial, Scheduling, Patient Record, and Miscellaneous. This determines at which point in the workflow an alert is automatically displayed.
Visibility Settings
Notifications are configured to display as: Alert, Tooltip & Notifications; Tooltip & Notifications; or Notifications Only. This setting determines how the notification is displayed in the workflow, and can be edited as needed.
Viewing/Managing
When a patient notification is displayed, the icon on the left denotes the category; the bell and eyeball icons indicate type and visibility. Use the other icons on the right to archive or edit the notification.
For more information, see How to Create Patient Notifications and Alerts.
