Product Enhancements and New Features:
New Payment Types and Subtypes
Sensei Cloud has added three new payment types you can select when entering a payment. Additionally, certain payment types now have payment subtypes that can be used to further define the collected payment, such as the specific credit card or mobile payment service used. These details are displayed on the Ledger, Daysheet reporting, Applied Payments, and Patient Statements. Transaction List reporting (Dashboard > Reports > Transaction List) has also been enhanced to include filters for the new payment types and subtypes.
The new Payment Type options are:
- Money Order
- Mobile or Online
- Miscellaneous Patient Payment
The Payment Subtype field is displayed for certain types of payments, enabling you to select a more specific description.
For more information, see How to Post Charges and Payments From the Patient Ledger.
Adjusting Payment Details
As part of this feature, you can use the new Update Entry option to enter or update descriptive details (Payment Subtype, Reference, or Comments) without changing the essential transaction fields (Amount, Location, or Payment Type) that would trigger a new ledger entry.
To update the descriptive details of a payment, select Patient > Financials > Ledger. Select the payment and then click Adjust this Payment > Update Entry. The information added or changed here will appear on the ledger entry and related reports, but a new ledger entry is not created as with the Remove Entry or Correct Information options.
For more information, see How to Adjust or Remove Payments on the Patient Ledger.
Support for Direct Access Clinician Claims (UK Only)
In support of CCN 63 for practices in England and Wales, Sensei Cloud now enables Dental Hygienists, Therapists, and Clinical Technicians to create and send NHS Claims using their own personal number. The Personal Number field replaces Performer Number in the software (Administration > Team Member Settings > Professional Information).
Advanced Referral Tracking (UK)
Practices in the United Kingdom can now use Sensei Cloud's Advanced Referral Tracking feature to store and manage a variety of professional and personal information about your referral sources. To access the Referral Sources management screen, select Administration > Practice Settings > Referral Sources.
As referred patients are seen and treated, you can use the existing reports, such as the Procedure Trend Analysis, Productivity by Referral Source, and Referral Activity reports (Location > Referrals) to review how referral sources have impacted your business. A link to a patient's referral source is displayed on the Patient Home screen.
Note: Permissions for managing referral sources and reporting are automatic for the Administrators group, and can be assigned for other users in the Reports and Lists section of the Group Permissions and User Permissions screens. (Administration > Permissions).
For more information, see How to Manage Referral Sources, How to Generate a Procedure Trend Analysis Report by Referral, How to Generate a Productivity by Referral Source Report, and How to Track Referral Activity.
Referral Ratings and Rankings (US Only)
US Customers managing referral sources with the Advanced Referral Tracking feature now have additional functionality to rate and rank their sources based on the number of patients referred, appointments booked, and charges posted. This data is used to calculate a score for each referral source, which generates a rating and ranking value that is displayed in the Referral Activity report (Location > Referrals > Referral Activity).
You can also use the Ratings and Rankings filters to refine and sort the list.
For more information, see How to Track Referral Activity.
New settings on the Referral Sources screen (Administration > Practice Settings > Referral Sources) enable you to customize how these values are calculated. Use the percentage fields to determine the relative importance of each factor - number of patient referrals, generated appointments, and posted production - when assessing the value of a referral source to your practice.
For more information, see How to Set Up Rating and Ranking of Referral Sources.
Note: This enhancement will be available in the UK soon.
