This checklist is for team members who will prepare the data in Sensei Cloud so that typical daily tasks can be performed on the day you start using the new software with patients.
Data Conversion
In Current Software (while your data is being converted):
If your data from a previous software will be converted into Sensei Cloud, the following tasks will need to be completed in preparation to your Go Live date:
☐ Bill your entire patient base from the old software just before the final backup is taken.
☐ Continue posting in previous software while data is being converted.
☐ Track everything you enter into your current software, starting from the date & time that your data is pulled to be converted. (New appointments, reschedules, cancellations, etc.)
☐ Complete ePrescriptions registration with ID.Me. Contact your Implementer.
In Sensei Cloud (in your converted data):
During your third remote session, the trainer will review these items so you are prepared to be live on Sensei Cloud.
☐ Review the Configurations Guide: www.carestreamdental.com/configuresenseicloud.
☐ Update the Schedule. (Add all new, rescheduled, or cancelled appointments. Edit appointment types and add procedure codes to already existing appointments.)
☐ Post patient payments towards converted balances.
☐ Post insurance payments, particularly if there is not a claim.
• Payment Type = Check (Reference insurance payment and DOS)
• To send a secondary claim when the balance in Sensei Cloud shows converted, post the insurance payment in the previous software to push a secondary claim.
☐ Verify/Create Fee Schedules.

No Data Conversion
If your data from your previous practice management software will NOT be converted into Sensei Cloud, you will need to manually enter the data. Complete the following tasks to prepare for your Go Live date:
☐ Bill your entire patient base from the old software just before the final backup is taken.
☐ Configure Sensei Cloud on the Administration tab. Follow the Configuration Guide in CDI: www.gosensei.com/ConfigureSenseiCloud
• Team Members
• Scheduler Set up- Office hours, provider hours, days off/closed, Holidays.
☐ Enter office UCR fees and office codes
☐ Add Patients
• That have an open balance
• That have an appointment scheduled based on your go live date and beyond
• Start with the future appointments and work up to go live date
☐ Insurance Plan Set up
• Create / attach insurance plans for patients’ w/ appointments ( start with current to future)
• Create fee schedules for PPO
☐ Enter Starting Balances (if applicable)
